Trip Cancellation - By You:
If you need to cancel from a trip you must tell us in writing by email at firstname.lastname@example.org Cancellation fees will be applied per person according to the following based on the date we receive your written notification.
a) More than 90 days prior to departure – 25% of the trip cost per person. **
** If you are not approved by the Trip Leader, your full deposit will be returned.
b) Within 90 days to 61 days prior – 35% of the trip cost
c) Within 60 - 31 days prior – 50% of the trip cost.
d) Within 30 days prior - 100% of the trip cost.
Your full trip reservation may be transferable should you provide an appropriate alternate participant (depends on a variety of trip variables and includes the physical ability of your replacement to complete the trip).
No refunds will apply to unused portions of a trip once the tour begins.

We reserve the right to cancel all or a portion of a trip. If we need to cancel a trip, the following will happen:
a) you will be transferred, free of charge, to the same trip running the next year (similar date schedule). The original trip price will be honored however we reserve the right to potentially pass on price increases applicable for external services eg lodging, ground or air transportation etc.
b) if there is no replacement trip next year, you may transfer, free of charge, to a new suitable alternate trip, as mutually agreeable . Any trip price difference will be applied as either a refund to you or the requirement for an additional deposit payment.
c) if neither of the above apply, we will refund all non-committed funds .
If you cancel from an active trip, BRW's usual cancellation terms apply. We urge you to buy travel insurance. We do highly recommend our travel insurance partner, RoamRight, who now offer a special CancelFlex policy – cancel for any reason.
Big Round World is not responsible for additional expenses incurred by you in preparing for the trip (including non-refundable air tickets, visa fees, medical expenses, etc.).
Each trip requires a minimum number of participants. If enough people sign up and the trip is confirmed, trip participants will be alerted so they can make their travel arrangements. If a trip doesn't have enough participants, you may either transfer to another trip (no fee incurred), be refunded your deposit or you might be able to pay a supplemental fee to run the trip with fewer participants.
Cancellations and Refunds
We regret we cannot make exceptions to our refund policy for personal emergencies, unexpected circumstances, or cancellations. No refunds will be made for a "No-show" at the starting point of a trip, leaving a Trip in progress, or for any unused portions of a trip for any reason whatsoever. No partial refunds will be given for unused hotel rooms, meals, sightseeing trips, or hiking arrangements. For these reasons, we strongly recommend that you purchase travel insurance.
